Accounting Software UK: Your Books, Your Control
Most accounting software UK businesses use today was built around one idea: get everything into the taxman's pipe as fast as possible. WDI Billing was built around a different idea. Your books are yours first, and HMRC's business second. That means Records for the everyday bookkeeping, Prepare for getting Making Tax Digital (MTD) submissions ready, and File only when you personally press the button. Nothing streams to HMRC automatically.
Whether you're a sole trader raising your first few invoices, a limited company with an accountant in the loop, or a bookkeeper juggling several clients, WDI Billing gives you a UK-native, privacy-first way to run your books without surrendering control of your data to a US software giant or a bank-owned freebie.
We built WDI Billing specifically for the UK market, not as a bolt-on to a global product. That means UK invoice fields, UK expense categories, UK mileage rules, and an MTD engine that understands the difference between VAT obligations you already have and Income Tax obligations that are still rolling out. Your data is held on EU/GDPR-compliant infrastructure, and it stays there - it doesn't get pooled with marketing data, sold to third parties, or used to train someone else's AI model without your say-so.
Three modes: Records, Prepare, File
Every feature in WDI Billing sits inside one of three modes, and you choose how far you go:
- Records - day-to-day bookkeeping: invoices, expenses, receipts, mileage. Nothing is shared anywhere. This is where most small businesses live most of the time.
- Prepare - the software drafts your MTD for VAT or MTD for Income Tax (ITSA) submission from your records, checks it, and gets it filing-ready. It still doesn't touch HMRC's systems.
- File - you review the prepared submission and press file. That's the only point any data leaves your account and reaches HMRC.
Prepare is the default mode for every new account. We think that's how accounting software should behave in a country that takes data protection seriously - HMRC-recognised software doesn't have to mean HMRC-connected-by-default software. You can see exactly what would be submitted before it happens, correct anything that looks wrong, and only then decide to file. If you're not required to file yet, or you'd simply rather your accountant handles the actual submission, you can stay in Prepare indefinitely.
Why "your books stay yours" actually matters
A lot of accounting software treats your financial data as a resource to be mined - upsold add-ons, data shared with lending partners, banking relationships baked into the product. WDI Billing doesn't work that way. There's no requirement to link a specific bank, no push toward a particular lender, and no hidden dependency that only works if you also bank with a particular provider. Your invoices, expenses, and records belong to you, and you can export them cleanly at any time - full data portability, no lock-in, no ransom.
Making Tax Digital, without losing the plot
If you're VAT-registered or approaching MTD for Income Tax, our Making Tax Digital software hub explains exactly what's mandatory and what isn't. For VAT specifically, our MTD VAT software handles the VAT return end-to-end while staying in Prepare mode until you submit. And if you're not ready to leave spreadsheets behind, our MTD bridging software keeps your spreadsheet workflow and just handles the digital link HMRC requires.
Built for how you actually work
WDI Billing isn't one rigid product forced onto every business type - it flexes to match how you're set up:
- Sole trader accounting software (also covers self-employed accounting software) for people who need something fast, honest, and MTD-aware without unnecessary complexity.
- Accounting software for limited company owners who want proper control and clean accountant access, since Ltds sit outside MTD ITSA.
- Bookkeeping software UK businesses can use purely in Records mode, with no pressure to file anything before you're ready.
- Invoicing software UK teams and freelancers use to get paid faster, with MTD-ready records building automatically behind every invoice.
- Accounting software UK businesses of any size can grow into, from first invoice to full double-entry bookkeeping.
- Expense tracker app and mileage tracker tools that turn receipts and journeys into allowable expenses automatically - AI-assisted if you opt in, fully usable without AI if you don't.
Document capture that respects your inbox
Snap a receipt, forward an invoice, or drop in a PDF - WDI Billing reads it and files it against the right expense or supplier. AI-assisted extraction is opt-in only; if you'd rather keep AI out of your books entirely, ingestion still works, just with a manual review step instead of automatic reading. Either way, the document lands in your Records, ready to feed into a Prepare-mode MTD submission when the time comes.
Clean exports whenever you need them
If you ever want to move your data - to a new accountant, a different system, or simply for your own archive - WDI Billing exports your full ledger cleanly rather than locking it behind proprietary formats. That's the same no-lock-in principle that runs through the whole product: you chose to use WDI Billing, and you can choose to leave with everything you brought.
Accountants get access, not a takeover
You can invite your accountant or bookkeeper with proper "break-glass" access - visible, logged, and revocable - rather than handing over your login. See accounting software accountant access for how advisor collaboration works, and if you run a practice, our accountant partner programme explains the referral side.
